Reservations are made through Bev Claybaker (see information below in PROCEDURE).

Attendees:  Those attending should include all Zone presidents, all District-level elected officers, and all District-level appointees (see BOD listing) and invited participants.   The Board of Directors meeting is a closed meeting.  We ask that friends or relatives NOT attend the meeting sessions with you.

Preparation:
  

Zone Presidents:   Bring/mail ahead (1) two copies of the completed Zone Activities Report  detailing events held in your Zone between the date of the last District BOD meeting and the date of the upcoming District BOD meeting.  Complete a (2) rally schedule report form, and send/mail it to the District President by September 1 so that she can assign a Board Member to attend your upcoming Rally.   (3) Mite Box and Stationery needs should be requested early to be acquired in time to make them available for you to pick up at this BOD meeting.  

BOD Officers and Committee Chairmen:  Bring 45 copies of your report for distribution on Friday evening after dinner.  Your report's first page should be color-coded according to the color assigned to you.  Your "agenda" number should appear at the top right of the first page of your report; this number is assigned by the District President.  Include your contact information and clear instructions regarding copying and distribution requested of Zone Presidents.

Procedure:  Each BOD member will receive a "Call to Board" written (or E-mail) notification from the District President prior to each Board of Directors meeting.  Reservation instructions, zone activities report forms, rally schedule report forms, order forms for LWML supplies (mite boxes and stationery), etc. will be included in this communication.


Carpooling is encouraged whenever possible.  District LWML books hotel accommodations based on two persons to a room.  For individuals who prefer single accommodations, District policy states that the balance for room charges (divided on a "per person" basis) should be paid to the District by those individuals requesting to stay in rooms alone.   

Donation forms (for expenses normally incurred by District LWML) are available to anyone wanting to "pay their own way ."  Check with the District Treasurer Jane Peters for details.
